SmCo RFQ Checklist for OEM Buyers
A field-ready RFQ checklist that helps procurement and engineering teams get comparable SmCo quotations with fewer clarification loops.
Most SmCo RFQ delays are caused by incomplete technical context, not supplier response speed. If you want comparable quotations, standardize the input package before you request pricing.
RFQ Decision Flow (Visual)
Section 1: Application Context
Provide:
- end-use system and function of the magnet
- critical failure mode (loss, drift, corrosion, mechanical damage)
- certification or compliance constraints if applicable
This aligns supplier assumptions before any unit pricing is discussed.
Section 2: Technical Specification
Provide:
- preferred grade range (for example SmCo5 or Sm2Co17 family)
- drawing with tolerances and datum references
- magnetization direction and fixture constraints
- coating or surface treatment requirements
- operating and peak temperature profile
If grade is undecided, declare decision criteria so suppliers can propose alternatives.
Section 3: Validation Requirements
Provide:
- incoming inspection items
- sampling plan and acceptance thresholds
- thermal or lifecycle test profile
- rejection and rework handling expectations
This prevents "quote accepted, quality criteria undefined" scenarios.
Section 4: Commercial and Delivery Data
Provide:
- quantity by phase: sample, pilot, mass production
- required Incoterm and destination
- expected lead time milestones
- packaging and traceability requirements
For global programs, add required shipping documents in advance.
Section 5: Quotation Format (Force Comparability)
Ask every supplier to return:
- unit price by quantity break
- tooling or setup fee (if any)
- sample lead time and mass lead time
- inspection scope included in standard offer
- assumptions and exclusions
Without a fixed format, price comparison can be misleading.
Field Evidence Snapshot
Anonymous benchmark from one multi-supplier RFQ batch:
| RFQ Package Quality | First-Round Clarification Loops | Time to Comparable Quotes |
|---|---|---|
| No structured template | 4-6 loops per supplier | 9-14 working days |
| Structured 5-section template | 1-2 loops per supplier | 3-5 working days |
The highest time loss came from missing tolerance references and unclear thermal duty.
Supplier Comparison Scorecard Template
Use a single scorecard format across all quotes:
| Dimension | Supplier A | Supplier B | Supplier C |
|---|---|---|---|
| Technical fit confidence | |||
| Thermal validation readiness | |||
| Quality response clarity | |||
| Lead-time credibility | |||
| Commercial transparency | |||
| Risks / assumptions quality |
Add short row notes with concrete evidence references (COA sample, inspection scope, timeline assumptions).
